Dashboard – a quick overview of system activity

The dashboard provides administrators with an immediate overview of what is happening in the system. In one place, they can see key data such as the total number of users, active members, and users awaiting approval.

Additionally, administrators can track the latest system activity and statistics related to the structure of users within the organization. This makes the dashboard a real control center for managing employee mobility.

Managing employee rides

The reservations module allows administrators to review all rides carried out within the system. Each reservation includes detailed information about the driver, passenger, route, date of the ride, and its status.

Advanced filters enable quick analysis of data and help monitor how the system is used across the organization. Administrators can easily see how employees use carpooling and which routes are most frequently shared.

Points system and gamification

One of the distinguishing elements of the InOneCar platform is its gamification module. It allows organizations to introduce an incentive program that rewards employees for participating in carpooling.

Points can be awarded for activities such as:

• driving a shared ride

• joining a ride as a passenger

• distance traveled

• achievements in monthly rankings

Trip Tracking allows you to monitor the progress of your trip and — with the driver’s consent — view their real-time location on the route.

This helps you understand whether the trip is proceeding as planned and reduces uncertainty before arrival.

When is tracking active?

Tracking is automatically activated:

• 15 minutes before the scheduled start of the trip

• during the trip

• up to 15 minutes after the trip ends

After this time window, the driver’s location is no longer shared.

What can I see in the app?

In the trip view, you may see:

• the trip route

• a time progress bar

• the trip status

• the driver’s position on the route (if location sharing is enabled)

The time progress bar is visible regardless of whether the driver shares their location.

What do the statuses mean?

• Waiting for connection – the app is connecting to the server

• Waiting for location – the system is waiting for updated location data

• Driver on the way – the trip is in progress

• Location sharing not enabled – the driver has not shared their location

Why can’t I see the driver’s position?

The driver’s position is visible only if:

• the driver has given consent to share their location

• location services are enabled on the driver’s device

If location sharing is not enabled, you may send a request directly from the app.

Can I ask the driver to share their location?

Yes.

If you see the status “Location sharing not enabled”, you can tap the Request button.

The driver will receive a notification informing them about your request and will be able to grant location access in the app.

Is tracking always available?

Trip Tracking is available only in networks where the feature is enabled and requires the driver’s consent to share location.

You can share your location with the passenger during a trip.
This allows the passenger to see the trip progress and check whether everything is going according to plan.

It increases predictability and reduces phone calls asking, “Where are you?”

Do I have to share my location?

No.

Location sharing is completely voluntary.
You can give your consent or decline it.

When is location sharing active?

Tracking is automatically activated:

• 15 minutes before the trip starts

• during the trip

• up to 15 minutes after the trip ends

After that time, your location is no longer shared.

How do I enable location sharing?

For the feature to work:

1. Give your consent in the app.

2. Turn on location services on your phone.

3. Set location access to “Always” (continuous access).

Without these settings, your position will not be transmitted.

What does the passenger see?

If you share your location, the passenger can see:

• trip progress

• your position on the route

• information whether the trip is on schedule

Your location history is not shared outside the trip time window.

Can I change my decision?

Yes.

You can disable location sharing at any time in your phone or app settings.

Why is it worth sharing your location?

Step by step:

• On the main screen, click the pencil icon in a circle – this means you can edit your schedule.

• Choose the route: Home to Work or Work to Home
  (You can edit both – remember, you have two rides per day.)

• Change your departure and return times –
  Enter new start and end times for your workday.

• Change your role (driver, passenger, or both) –
  You can do this separately for each ride.

• Apply changes to selected weekdays –
  You can choose specific days the changes should apply to.

• Save
  Done! The system will recalculate your matches and show you updated ride suggestions.

Tip:
You don’t need to delete your entire schedule – just click the pencil and change what you need.

Important: Don’t create a new schedule just to change the time – simply edit the existing one.
Avoid duplicating routes, as they will appear to other users as separate suggestions.

How to delete a full route:

1. Go to “My Rides”,

2. Click on the selected route (e.g. “Home to Work” or “Work to Home”),

3. At the top, in the blue bar, you’ll see a trash icon,

4. Click the trash icon and confirm – the route will be completely removed from your schedule.

Two routes per day
Remember, you have two separate daily routes:

• Home to Work and

• Work to Home
  You need to delete or edit them separately.

How to delete a specific day:

1. Click the pencil icon next to the chosen route for a specific day (e.g. July 22),

2. Click “Not Traveling” and confirm – the system will remove you just for that day.
   You won’t appear as an available participant on that date.
